Project S.A.F.E. - Emergency Response System

Effective Date: September 28, 2025

Welcome to Project S.A.F.E.

Welcome to Project S.A.F.E. (System for Alerting, Facilitating, and Emergency Response). These Terms and Conditions govern your use of this platform and explain how your information is handled. By registering or using the system, you agree to follow these terms, which are designed to ensure safety, fairness, and proper use of the platform.

Why We Collect Your Data

We collect information only for purposes directly related to emergency reporting and coordination. This allows us to process and verify your reports, contact you when clarification is needed, and alert responders quickly and accurately. Our data practices comply with the Philippine Data Privacy Act of 2012 (RA 10173), which protects your personal information and ensures it is used only for its intended purpose — public safety and community welfare.

What Data We Collect

When you create an account, we collect your name, email address, phone number, and selected role (Admin, Responder, or Client). When you submit an emergency report, we may also collect its location, a description of the situation, and any images or videos you choose to share. Technical details like your IP address or device type may also be stored to keep the platform secure and prevent misuse.

How We Use Your Data

The information you provide helps us confirm that reports are valid and assign them to the right responders. We may contact you to ask for updates or confirm that the emergency has been resolved. We also review reports to improve the system and make it more efficient. When we analyze data for improvement, personal details are removed to protect your privacy.

Who Can Access Your Data

Access to your data is limited to those who need it to respond to emergencies, including system administrators, authorized responders, and local government units such as the MDRRMO (Municipal Disaster Risk Reduction and Management Office). We do not share your information with third parties for marketing or unrelated purposes. However, we may disclose your information if required by law or in urgent situations where your safety or the safety of others is at risk.

Your Rights

You have the right to request a copy of the data we have about you and to ask for corrections if any of it is inaccurate. If you no longer wish to use Project S.A.F.E., you may request that your account and data be deleted, unless we are required to keep them for legal or safety reasons.

How We Protect Your Data

We take data security seriously. Your information is protected with encryption, meaning it cannot easily be read by unauthorized parties. Access to sensitive data is limited only to trained staff, and we regularly monitor the system for suspicious activity. In case of a security breach, we have a process in place to respond quickly and protect your information.

User Responsibilities

To keep Project S.A.F.E. effective, users must provide accurate and truthful information. False reports, prank submissions, or any misuse of the system are strictly prohibited and may result in suspension or removal of your account. If you suspect that someone else is using your account, you must inform us immediately so we can secure it.

Limitations of the System

While Project S.A.F.E. is designed to support fast response, we cannot guarantee specific response times or outcomes. Technical issues, network problems, or high volumes of reports may affect the speed of response. The system is meant to assist responders, but it does not replace emergency hotlines or immediate calls for help.

Data Retention

We keep your personal data only as long as necessary to process your reports, maintain system integrity, and meet legal requirements. After this period, your data will be safely deleted or anonymized so that it can no longer be linked to you personally.

Changes to These Terms

From time to time, we may update these Terms and Conditions to reflect improvements to the system or changes in the law. If significant updates are made, we will notify users through email, announcements in the app, or on the website. Continued use of the system after these changes means that you accept the updated terms.
